TERMS & CONDITIONS/GENERAL AGREEMENT

Welcometoecuador.org is an organization that helps visitors to find accommodation in Ecuador. We act as intermediary between tenants and landlords. That means that the rental agreement will be between the tenant and the landlord.

STEPS

Step 1: Reception of your application form.

Once we receive your application form, we will send you, as soon as possible, the different options of lodging, according to your requirements.

Step 2: Provisional booking.

If you are interested in any of these options, and you want to make a provisional booking, you will have to reply us (by email or phone) as soon as possible. Otherwise, please contact us to keep looking for more options or to stop helping you.

Step 3: Deposit and definitive booking.

Once we receive your provisional booking, we will send you a pro-forma invoice as a guarantee of our services. Then you will have to make an initial deposit (a deposit asked by the owner + our services) so that a definitive booking can be made.

Step 4: Final invoice.

Once we receive your deposit, the reservation will be definitive and we will send you a final invoice together with the whole information about your accommodation and getting arround.

PAYMENT PROCEDURES

Making a short term reservation (less than 1 month)
Any stay of less than 7 nights will require payment in full at least 7 working days prior to arrival.

Any stay of 7 nights and more will require a minimum payment of 1 week accommodation and the balance of the booking will be payable upon arrival directly to the families/owners.

Making a long term reservation (more than one month)
An advance deposit is also necessary. This deposit includes: an amount asked directly by the families or the owners as guarantee to make a definitive reservation of your accommodation (usuallly one month rent) + 100 dollars as a service charge. The rest of the costs should be paid by the client to their respective families/owners directly.

METHOD OF PAYMENT

1. By Credit card (Mastercard, Visa, 4B, Maestro)
You can safely enter your entire credit card number via our Bank secure server (SSL 128 bits), which encrypts all submitted information. We accept:

All transactions are:and will be automatically transformed to dollars (the bank will apply the official exchange rate of that moment).

If you prefer, we also have a way for you to use your credit card without ever having to enter the complete number on the Internet. When filling out the order form, simply enter the last five digits and the expiration date of your credit card on the order form. This gives us a way to track your order but guarantees your security. Once you have fully submitted your order, you will be provided with a phone number and email address so that you may provide us with the rest of your credit card number. You can do this even if you can't use our secure server, and your credit card number will be totally protected.

To provide you with an additional layer of security, all credit card numbers provided to Welcometoecuador.org are not stored on any computer. After we receive the deposit we destroy all the information relative to your credit card.

When paying by credit card, there is an additional 3,1% fee to cover the bank costs.

Note : To cover our bank fees you will have to add $10 to the total amount of deposit.

3. Western Union :
(International postal money order service is available to transfer funds to individuals or firms from your Postal Service. The money orders can be cashed at the post office locations of the destination country)

When paying by Postal Money Order, there is an additional $10 fee to cover the Post Office costs.

CANCELLATION

Cancellation of bookings already made: The guarantee deposit will be refunded if the owner accept to do it. We will do our best to find another person for their accommodation in order to get the money back but we can not guarantee it. In any case, our services charges are not refundables.

ARRIVAL

In most of the cases the host family or the owner will go to pick you up. If it is not possible, then we can send you someone of our organization. It is essential that arrival times, destination airport, station, etc is communicated beforehand to Welcometoecuador.org, otherwise there may be no one at the home to greet them when they arrive.

OTHER (ONLY FOR FAMILY ACCOMMODATION)

Telephone: Clients must appeal directly to the family for the use of the telephone and must assume that whilst incoming calls are usually granted, they may not use the telephone at the expense of the family under any circumstance without prior permission.

Use of the kitchen, washing machine, hairdryers and other appliances are at the discretion of the owner.

Visitors are not allowed to enter the house unless by expressed permission.

All special arrangements must be made between the tenant and the landlord directly as each situation is unique.


Clients are given front door keys and are urged to take great care not to mislay them as this may incur the cost of lock replacement and copy keys - please be prepared to pay for the repair or replacement of any item lost or damaged.

Clients are asked to respect the family members and/or other paying guests and not make excessive noise or create disturbance.

Welcometoecuador.org reserves the right to remove any client from their accommodation if their behavior is deemed unreasonable. Equally, alternative accommodations will be sought for any client not receiving adequate accommodations and service.

Moving Out
When you want to move out of a rental unit, it is important to give appropriate notice to your landlord. In most cases it is not necessary to provide notice if you are moving out at the expiration of a lease, though you should check your rental agreement to determine what, if any, kind of formal notice must be given.

If you leave before a lease expires, the landlord has the rigth to keep the deposit of grarantee. However, the landlord and you must make an effort to re-rent the unit at a reasonable price. If this is not done, the tenant may not be liable for rent beyond a reasonable period of time.

If you stay beyond the expiration of the lease, and the landlord accepts the next month's rent, then you are assumed to be renting under a month-to-month agreement. Written notice at least 20 days before the end of the rental agreement is required to move out.
